World Fax Wizard Software

There are two major World Fax components that users need to use when transmitting a fax broadcast. The first is the World Fax Wizard, designed to guide users through the set-up and configuration of a new fax broadcast. The other is the World Fax Client which allows the user to monitor and control fax broadcasts that have been sent to the Server.

World Fax Wizard

Using the World Fax Wizard to create a job is very simple and requires little effort. It leads the user through 5 major steps:

1. Template Selection: specify an existing template or create a new one.
   
2. Document Selection: choose the documents to be used in the fax broadcast.
   
3. Recipient Selection: indicate the recipients of the fax broadcast, along with their contact information.
   
4. Job Parameters Setup:
   a) Main Parameter - specify retries, job priority levels, job resolution level, local vs long distance scheduling, etc.
   b) Job Schedule - schedule the date and time of the fax broadcast
   c) Sender Info - include sender information including name, e-mail address, local CSID.
   
5. Job Setup Completion: specify a template description, save the template and send the job.

The following components can be modified in the World Fax Wizard, during different steps of the job creation.

Fax List Manager

This powerful addition can be accessed during the Recipient Selection stage. It enhances user efficiency when creating fax jobs. The various components are practical, time saving tools that are indispensable when working with large databases.

Fax List Manager allows the user to:

• Create a fax list
• Add records to an existing fax list
• Edit records
• Remove duplicate numbers from a fax list
• Select and save a subset of a fax list
  
• Combine fax lists
  
• Find a record in an open fax list
  
• Create and use a "do not fax" list - World Fax allows users to create a file of fax numbers to be removed from a current fax list. These two files can be cross-referenced and World Fax will remove all the unwanted numbers from the current fax list.
  
• Contact Manager Integration This tool offers extended convenience to the user by allowing existing databases to be used as World Fax fax lists. In World Fax, simply click on a button and import the desired database or a database selection from Act!, GoldMine, Maximizer, Microsoft Excel or Microsoft Outlook. The user can specify the desired fields to be imported, including: Contact Name, Company, Account Number, Fax Number, etc.

Advanced Job Scheduling

Eliminate the worry of remembering to transmit a fax broadcast and the inconvenience of running a fax broadcast during your peak hours. With Advanced Job Scheduling, the user can specify exactly when the fax broadcast is to be transmitted - up to a century in advance! This feature can be edited during the Job Parameters Setup.

World Fax Client

World Fax Client is essential for monitoring and modifying transmitted fax broadcasts. The Client allows the user to perform several functions:

• Create a New Job
  
• Suspend/Resume a Job
  
• Reschedule a Job and Alter Job Parameters
  
• Retry a Finished Job
  
• Archive a Job
  
• Delete a Job (Only can be performed by World Fax Employees)

Reporting

View a detailed real-time report regarding the status of all transmitted fax jobs. The user can choose from and print 10 different informative reports, or customize a report as needed. This includes Error Fax Lists, Success Fax Lists and Unsent Fax Lists (comprised of Failed Numbers and Numbers not Submitted).

Job-centric Design

This very powerful feature of World Fax allows users to run several jobs at any time. These jobs can be set according to priority level, whereby those with highest priority are submitted to the server first and those with the same priority level are submitted concurrently and comprise an equal percentage of the job.

BroadMail

BroadMail is designed to complement the communication capabilities of World Fax. This gives the user the ability to transmit personalized faxes and e-mail's concurrently to the same list of recipients. With fax numbers and e-mail addresses combined into one list, the success rate of reaching important contacts will increase substantially. It has been determined that personalized e-mail's attain 50% more results than nonpersonalized e-mails. No other software offers the extended convenience, efficiency and flexibility needed when sending outgoing mass communications.

Cover Page Editor/Document Designer

Created to enhance the fax broadcast, this is an amazing tool that helps the user to create personalized documents. This powerful feature will improve the appearance of the broadcast, increase the chances of the fax being read and ensure that the fax is relevant to the recipient.

Personalization

CPE/DD allows the user to add a personal touch to the fax broadcast by embedding database fields that allow customization of outgoing faxes.

Creating Documents

CPE/DD helps the user to build attractive documents step by step. Options include incorporating graphics, inserting borders, creating background "images", etc. To ensure satisfaction with the results, the user can preview the customized document before sending it out.

List of Documents

Tailor your fax broadcasts to each contact by sending them different documentation. This V.IP feature will increase flexibility, productivity and efficiency! With List of Documents, a fax broadcast can be created so that each contact receives: a) Completely different documents. b) Some similar and some different documents.

Client Compatibility with all Web Browsers

A web browser is not required on the Client Side to submit reports. Further, when utilizing the World Fax Client feature, users will now experience greater convenience because World Fax is compatible with all web browsers.

Add-ons

World Fax Mail Merge

Personalized documents can be created effortlessly using Microsoft Word Versions 97 and up. Create a template document in Microsoft Word and insert the fields to be personalized. Then select the database list to be merged into the template document. From Microsoft Word, the personalized documents can be previewed and converted to a faxable document.

Billing Module

This enhancement is indispensable for fax service bureaus in maintaining updated billing records for their clients. As clients submit their fax jobs to their fax service bureaus, the Billing Module updates the status of the client's account - debiting the account for prepaid services. Otherwise, a detailed bill can be generated and the client can be charged appropriately. As well, the fax service bureau can specify: area code billing rates for users, the Client's allowable Minimum Balance and Client User security parameters.
