Chapter 5. Managing Your Fax Documents

Overview

World Fax supports the following image file formats:

  • TIF
  • PCX
  • DCX
  • ASCII text files
  • CPT (World Fax Cover Page Templates)

Please note that World Fax does NOT support the direct use of other types of documents.  For example, you cannot attach a Microsoft Word DOC file to the job – World Fax does not know how to automatically convert such a document.

Using the World Fax Capture Printer Driver

TIF files are most easily created by the World Fax Capture printer driver.

Using “Other Programs” to Create Image Files

TIF or PCX/DCX files created by other programs can be used for faxing as long as they meet the following conditions:

  • Fax files must be made up of black and white only.  The color depth for color and greyscale images must be reduced down to black and white.
  • Fax files must be 200 dpi resolution.  Most programs have a default of 300 dpi which is fine for regular printing to a laser printer, but not for faxing.
  • Fax files cannot be wider than 8.5” (inches).

Using Received Faxes

If received by World Fax, the images will be in DCX format.  You can use these directly for new jobs.

Using Scanned documents

Make sure you save the document as 200 dpi resolution as a black and white image.

ASCII Text Files

Any text file can be attached and World Fax will convert it into a faxable format before sending.  While convenient, this option does not offer many formatting options.  This technique is typically used in an automated fashion -- for example, an accounting application might generate invoices and submit them to World Fax programatically.

World Fax Cover Page Template (CPT) Files

These files are produced using the World Fax Cover Page Editor.  This topic is covered in the Advanced Features Guide.


Printing a Document using World Fax Capture 7

Printing a document using World Fax Capture is the most common method for creating fax documents (TIF files) for your fax broadcasts.  You simply "print" your desired document (from Word, Publisher, etc.) to World Fax Capture and the document is automatically captured as a TIF image.

As an added benefit, the Job Setup Wizard is started automatically and the TIF image is added to the list of documents for your job. 

You can then view the document, add more documents or simply move on to the next step of the Job Setup Wizard.

Here is an outline of the steps:

  1. Open your document.
  2. Print your document to World Fax Capture 7.
  3. View the captured document (optional).
  4. Wait for the Job Setup Wizard to start.


Step 1: Open your document

Open the application in which you have created the document you want to fax.

In Microsoft Word for example …

Go to File | Open …

Select the file you would like to send.


Step 2:  Print your document to World Fax Capture

Go to your application's print command.

In MS Word …

Go to File | Print …

If not the default, first change the printer to World Fax Capture.

Click OK to capture the document.

Step 3: Viewing your Document

By default, the "Automatically Preview Documents" option is turned on.  The standard Windows Image Viewer (WANG Imaging or Kodak Imaging) will appear with your document automatically loaded.

You can then preview the image to make sure that everything looks good.

Step 4: The Job Setup Wizard appears

The World Fax Job Setup Wizard should then appear and it will already be on the Select Documents screen (the second step of the wizard).

You can see that your document has already been inserted into the list.  The file has been converted to TIF format and automatically named as doc1.tif.
